Job Description
We are seeking a highly skilled and experienced Personal Assistant to provide executive secretarial and analytical support to the office of the Managing Director. The successful candidate will be responsible for the Managing Director’s travel schedules, meeting schedules, correspondence, clientele, visitor management as well as analysis and filing of information. This position reports directly to the Managing Director.
Responsibilities
• Manage the Managing Director’s agenda, scheduling appointments and meetings by booking his calendar in time.
Ensure all the attendees expected in meetings attend promptly.
• Handle and review all outgoing or incoming correspondence.
• Receive and screen visitors and telephone calls intended for the Managing Director.
• Maintain electronic and paper records ensuring information is organised and easily accessible.
• Compose and type routine letters, memoranda and reports.
• Attend meetings chaired by the Managing Director, write minutes and share them with relevant Managers.
• Update the Managing Director on the status of issues before the scheduled meetings.
• Ensure all files that are presented to the Managing Director are properly reviewed.
• Maintain confidentiality of documents and information received.
• Analyse information as required by the Managing Director.
• Perform any other duties assigned as the need may arise.
Qualifications
• At least 3 years of experience as a Personal Assistant or Executive Secretary.
• Excellent planning, organisational and time management skills.
• Excellent business communication skills such as letter writing, report writing, presentation skills and email etiquette among others.
• Exceptional interpersonal skills.
• Excellent scheduling and calendar management skills.
• Ability to maintain confidentiality and handle sensitive information.
• Proficiency in Microsoft Office, outlook and other office management systems.
• Ability to analyse data and make meaningful reports.
• Strong problem-solving and analytical skills
• Ability to work under pressure.
Educational Qualifications & Personal Attributes
• Bachelor’s degree (Hons) in Business Administration, or Secretarial Studies or Office Management, or relevant academic field from a recognised University or Institution.
• An additional degree in Financial Management would be an added advantage.
• Must be aged between 25 – 35 years
• Must have exceptional English language skills.
