Job Description


The Finance and Accounting Officer at Jolems Investments Limited (JIL) is a pivotal role responsible for ensuring the efficient, accurate, and compliant management of all financial transactions, encompassing both accounts payable and accounts receivable. This position is crucial for maintaining JIL’s financial health, supporting the procurement and sales functions, and contributing to overall operational efficiency. The officer will be instrumental in addressing JIL’s ongoing challenges related to timely and accurate financial reporting, internal communication, and strict adherence to company procedures and financial controls, thereby upholding JIL’s core values of innovation, quality, sustainability, and ethical practices. The role involves proficiently utilizing ERP Next for financial management, inventory, and logistics processes.

Weekly Jobs

Key Responsibilities:

Financial Transaction Processing:

  • Receive, verify, and process invoices from suppliers, ensuring accuracy and proper documentation.
  • Ensure timely and accurate payment of supplier invoices in accordance with company policy and
  • payment terms.
  • Generate and issue sales invoices accurately and in a timely manner.
  • Process customer payments and ensure proper allocation.
  • Handle supplier and customer inquiries related to invoicing and payments, fostering good financial relationships with all stakeholders.

Reconciliation & Record Keeping:

  • Reconcile supplier statements and accounts receivable balances, promptly resolving any
  • This directly addresses the critical issue of missing and inaccurate reconciliation reports highlighted by the Managing Director.
  • Maintain accurate and up-to-date accounts payable and accounts receivable records.
  • Contribute to the preparation of daily, weekly, and monthly financial reports, including cash flow statements and expense tracking, to support data-driven decision-making.

Budget & Cost Management Support:

  • Support the Finance Manager/Human Resource, Administration, Procurement, and Finance Manager in adhering to procurement budgets and implementing cost management strategies.
  • Assist in monitoring cash flow related to procurement, sales, and general operational activities.
  • Support the management of costs for raw materials and other operational expenses.

Compliance & Internal Controls:

  • Ensure that all financial activities related to accounts payable, accounts receivable, sales, and
  • procurement comply with JIL’s established policies and procedures, as well as relevant statutory
  • and regulatory requirements in Uganda, including tax laws.
  • Adhere to financial regulations and strengthen internal control processes within the scope of work.
  • Support internal and external audits by providing necessary documentation and information related to financial processes.
  • Contribute to promoting a culture of accountability and professional conduct across all financial dealings.
  • Ensure compliance with specific tax obligations such as PAYE, Withholding Tax, Income Tax, and
  • Value Added Tax (VAT), and assist with their timely remittance and reporting to the Uganda Revenue Authority (URA).

Dedicated employment platform

System Utilization:

  • Proficiently utilize the ERPNext system for managing accounting, buying (procurement), selling, stock (inventory), and logistics processes, as well as for data management, reporting, and analysis.
  • Maintain proficiency in other accounting software and MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with tax compliance systems such as EFRIS (Electronic Fiscal Receipting and Invoicing Solution), which is mandatory for VAT registered taxpayers to issue e-invoices or e-receipts for tax credit eligibility.

Collaboration & Communication:

  • Facilitate effective internal communication and collaboration with other departments such as Production, Sales & Marketing, Human Resources & Admin, and Stores, to ensure smooth financial operations and address any communication breakdowns.
  • Collaborate with the Sales and Marketing Manager on pricing strategies and the financial aspects of sales promotions.
  • Work with the Procurement and Supply Chain Manager to streamline purchasing processes from a financial standpoint.

Qualifications and Skills:

Education: Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.

Professional certification such as Certified Public Accountant (CPA) is highly desirable.

Experience: Proven experience in accounts payable, accounts receivable, and/or sales finance.

Experience within a manufacturing or Fast-Moving Consumer Goods (FMCG) environment is preferred.

 Technical Skills:

  • Strong understanding of basic accounting principles.
  • Proficiency in accounting software and MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Proficiency with Enterprise Resource Planning (ERP) systems, particularly ERP Next, for financial
  • management, inventory, and logistics.
  • Knowledge of procurement processes and policies is an advantage.
  • Strong understanding of Ugandan tax laws and financial regulations, including specific knowledge of Income Tax, Value Added Tax (VAT), Pay As You Earn (PAYE), and Withholding Tax.
  • Familiarity with EFRIS (Electronic Fiscal Receipting and Invoicing Solution) and other URA e-tax
  • services (e-registration, e-filing, e-payment) is highly desirable.
  • Analytical skills to support financial reporting and analysis.
