Job Description


Job Title: Accountant
Reports to: Chief Executive Officer (CEO)
Job Summary:
To ensure the organization’s Financial Accounting reporting and control activities across membership,
projects and donors are carried out efficiently, effectively and in line with best practice. Provide and
direct the financial affairs of the organization and prepares financial analyses of the Association’s
operations..

Duties and Responsibilities:
1. Financial Management and Accountability
• Manage all accounts data entry and analysis and ensure the backups are made regularly and
• stored to ensure system security.
• Posting, verifying and reviewing of all coded and approved payment vouchers into the
• Accounting computer package on a daily basis.
• Use a financial control framework, including financial accountabilities and authorities to
• ensure full financial control and ensure security of all transactions.
• Coordinate the preparation of the budget and financial forecasts, (including the cost accounting
• system), analyze and report variances.
• Carry out regular and timely budget monitoring to ensure efficient use of the Association and
• donor resources while ensuring Budget Holders have accurate and up to date information as
• to parameters to be used in budget preparation.
• Proper debt management and ensuring debtors are constantly followed up for payment.
• Draft statutory accounts for the organization and prepare quarterly financial reports to the
• governing council and donors.
• Ensure accounting policies comply with the relevant accounting standards and donor
• accounting principles and ensure that organizational policies are followed.
• Develop systems and procedures to ensure the efficient and effective management of the
• organization’s finances and fiscal soundness of the organization.
• Ensure that monthly bank reconciliations are prepared for all the Association’s project
• accounts, general ledger, journals and accountabilities for completeness and accuracy.
• Manage the Association bank accounts and cash box in liaison with the CEO.
• Act as the main point of contact to external auditors and provide all required information.
• Coordinate all bank payments and funds transfers.
• Responsible for providing efficient, timely and accurate financial services for all the Association’s
• Operations.
• Support in audit the financial operations of the Account department in order to ensure
• information is efficiently and accurately processed.
• Ensure Project accountabilities are met on timely basis.
• Plan ways of raising income/reducing costs.
• Prepare financial and management reports to facilitate the audit process after preparing final
• accounts.
• Conduct reviews and evaluation for cost reduction opportunities.
2. Financial advisory support and Management of staff accounts
• Monitor and interpret cash flows and predict future trends.
• Maintain an up-to-date computerized record of all staff and collaborator accounts.
• Manage staff payroll including payments for Local Service Tax, NSSF and PAYE.
• Assists with annual strategic planning and business plan development.
• Recommend changes that will improve the organization’s financial performance and controls.
• Evaluate the performance staff in the Accounts Department, recommend training programs
• and keep the staff at the highest level of skill necessary to meet company needs and objectives.
• Advise the CEO on financial matters and report on a regular basis of financial position of the
• organization.
• Keeping management abreast with the changes in financial regulations and legislation.

Requirements:
• Minimum of a Bachelor’s Degree / Diploma in Commerce or Finance, or Business Administration,
• or Accounting, and majoring in Accounting or Finance.
• Professional Accounting Qualification is an advantage.
• At least 3 years’ experience in direct management of a busy Finance function.
• Strong Knowledge of Quick Books
• Skills and Experience in managing Project Accounting
• Strong interpersonal skills, initiative and pro-active working style.
• Tax Knowledge, proven track record of working with tight budgets.
• Analytical skills and ability to meet deadlines.
