14. Department Assistant – Corporate Affairs Department
Location: Kampala, Uganda. Mobilized to Albert Lake, construction sites or other cities if required.
Primary function
• Provides full scope Administrative and Secretarial support to the Department Manager and staff.
Responsibilities
• Prepares drafts and final written business correspondence such as letters, memoranda, meeting minutes, tables and charts using computer graphics, spreadsheets and word processing.
• Transmits inquiries and confirming letters/orders/agreements to internal and external bodies, materials and service suppliers/vendors via. fax, mail and courier etc.
• Maintains confidentiality of personnel issues and all data of confidential nature.
• Interacts with all levels and a variety of employees and management. Answers and screens telephone calls for Department Manager, relays messages, researches inquiries, follows through on responses; Pickup and distribute mail and correspondences.
• Maintains department filing system, including department files, purchase order and contract files, vendor catalog and data, Legal documents etc. Periodic review and purge of old files as per the established procedure.
• Generates Department Monthly Report and in/out reports, prepares charts and reports on a monthly, quarterly and annually basis.
• Maintains stationery and office supply inventory. Liaison contact for building, facilities and office equipment (such as copy and fax machines) maintenance;
• Coordinates meeting and travel arrangements, maintains schedule of appointments, bid opening, take meeting minutes etc.
• Performs other duties as required by Department Manager as necessary.
Requirements
• Bachelor’s degree or above in International commerce, business administration, economics or the equivalent
• At least 3-year related working experience.
Knowledge
• Excellent calendar management skills, including the coordination of complex executive meetings.
• Experience assisting management with the creation of PowerPoint presentations.
• Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook.
• Experience scheduling travel arrangements for management.
• Understanding of oil E&P.
