Job Description


MAIN PURPOSE OF THE JOB
Responsible for receiving goods in stores, documentation of store items, safe custody and issuance to users and responsible to maintain and operate a stores warehouse containing a wide variety of supplies, and materials; maintaining up-to-date and accurate inventory records; and to receive and issue authorized supplies and materials according to established procedures.

MINIMUM QUALIFICATIONS AND CERTIFICATIONS
a) Should possess an Honours, Bachelor’s degree in either Stores Management, B.COM (with training in stores management), or Bachelor’s of Business Administration (with training in stores management).
b) Knowledge in computerised accounting packages, IFMS, and Sun System, Spreadsheets and other IT skills would be desirable.

EXPERIENCE
Must have gained over three (3) years’ experience in stores management in a busy and reputable organization.

iv. Knowledge of inventory methods and procedures.
v. Knowledge of the characteristics uses and proper handling/storage techniques of items supplied.
vi. Ability to interpret and follow oral and written instructions.
vii. Ability to prepare and maintain stock records, reports and inventories and to estimate department’s needs in order to maintain proper inventory levels.
viii. Ability to work with computerized inventory control system preferably Navision.

iii. Organisational skills

JOB ACCOUNTABILITIES AND OBJECTIVES (DUTIES AND RESPONSIBILITIES):
Key Result Area: (What is the core area the job holder is accountable)

Activities/Processes for each Key Result Area (KRA)
KRA 1: Receipts and issues of stores.
i. Supervises and participates in receiving, ordering, stocking and issuing supplies and materials
ii. Inspects goods received regarding shortages or breakage. supports the purchasing function including enforcing of suppliers’ tender/contract obligations and initiate action in case of supplies
iii. Key Result Area: (What is the core area the job holder is accountable)
iv. Activities/Processes for each Key Result Area (KRA)

KRA 2: Record Keeping Conducts scheduled inventory, Issue tools, materials and supplies and preparing monthly activity reports
Ensures proper inventory levels; check stock items for reorder; maintain stock records

KRA 3: Stores Maintenance
i. Classify items, allocate and track physical location of stock items within the stores
ii. Ensures proper and precautionary methods are observed in handling and storing items requiring special treatment
iii. Supervises the efficient utilization of available storage space
iv. Ensures that the stores are properly maintained (including identity labels) and kept clean and tidy

KEY PERFORMANCE INDICATORS
a) Receiving, ordering, stocking, and issuing supplies and materials supervised.
b) Scheduled inventory, Issue tools, materials and supplies and preparing monthly activity reports conducted.
c) Stock records maintained.
d) Goods received inspected.
e) Classification, allocation and track physical location of stock items within the stores done.
f) Responses to questions regarding stock items, estimate departmental supplies and equipment needs prepared.
g) Proper and precautionary methods are observed in handling and storing items requiring special treatment adhered.
h) Purchasing function including enforcing of suppliers’ tender/contract obligations and initiate action in case of supplies supported.
i) Adequate security measures to prevent theft, pilferage etc periodically verifies physical stock particularly of items which attract pilferage and check the stores replenishment registers taken.
j) Efficient utilization of available storage space supervised.
k) Stores properly maintained (including identity labels) and kept clean and tidy properly maintained.
l) Monthly risk logs.
