Job Description
Kakira Sugar Limited (KSL) is a leading sugar manufacturer in Uganda. KSL boasts of two (2) sugar estates, one in Kakira – Jinja and the other in Kayunga. We seek to recruit dynamic, competent and experienced candidates to fill various vacant positions in the company.
Job Title: Officer Purchase (imports)
Reporting to the Imports Manager and;
Will be responsible for:
• Receiving and reviewing requisitions for clarity- adequate specifications/to ensure that bidders will be able to respond to the quotation appropriately as per specifications.
• Assisting user departments in getting specifications and Terms of Reference right.
• Processing Purchase Enquiries for purchase requisitions from the User Departments.
• Floating Purchase Enquiries to the respective liaison Offices and follow-up for quotations.
• Comparing and evaluating offers received from suppliers.
• Negotiating contract terms of agreement and pricing.
• Follow-up with Users for timely technical clearance of the quotations.
• Preparing Approval notes and ensuring to obtain necessary commercials approvals from the relevant authorities within validity of quotations.
• Issuing/Tracking orders and ensuring timely delivery.
• Monitoring stock levels and placing orders as needed.
• Entering order details (e.g. vendors, quantities, prices) into internal databases- SAP.
• Maintaining updated records of purchased products, delivery information and invoices.
• Preparing monthly/annual reports on purchases, including cost analyses.
• Preparing monthly/annual reports on purchases, including cost analyses.
• Preparing procurement transactions and providing a liaison link between suppliers and user departments. · Forwarding certified invoices to Stores for GRN and Accounts for payment.
• Resolving rejections and quality issues as priority.
Skills and Qualifications:
Applicants must;
• Hold a Bachelor’s degree in Business Administration/Procurement and Supplies or its equivalent from a recognized University.
• Be able to demonstrate competence in use of standard Computer applications such as Ms. Word, Excel, PowerPoint, Good Customer relations, Negotiation skills, Effective Communication and Report writing skills.
• Have excellent written and verbal communications in English and Kiswahili.
• Must have proficiency in the application of IT/ERP systems such as SAP
Experience:
Minimum of at least five (5) years of relevant practical experience in the field of Procurement for Goods and Services.
