Job Description


Kyagalanyi Coffee Ltd, as part of Volcafe Group, is Uganda’s oldest licensed Coffee Exporter, established in 1992. The company produces and exports green Robusta and Arabica coffee, focusing on partnerships and long-term relationships to be the world’s best coffee partner. Kyagalanyi has modern processing facilities and washing stations in Uganda, supporting sustainability and quality improvement in coffee farming households

Job purpose

Under the general direction of the CFO, this role will be responsible for the procurement of goods and services across the organisation. The incumbent will provide procurement services in accordance with the company’s policy and standards; providing guidance, advice and support to ensure procurement processes are effective, efficient, transparent and provide the best overall value to the company all while ensuring excellent client service internally.

Duties and Responsibilities

· Provides advice and guidance to internal stakeholders on procurement matters and coaches on relevant processes, such as requests for proposals and bid evaluation criteria, to ensure needs are met, the company obtains best value, and ensures procurement processes are fair, open and transparent.

· Analyses company procurement requirements and selects the most appropriate procurement method based on established practices, policy, and past experience. Conceptualizes and recommends to management new practices and procedures to ensure efficiency and good controls.

· Acts as the lead central point of contact for managing and coordinating all procurement processes across the organisation including items such as PPE, machinery spare parts, office supplies etc. ensuring best practice and value for money at all times.

· Plans, organizes and leads any required bid processes including drafting and issuing requests for quotations, requests for information, requests for expression of interest, requests for proposals, and developing bid evaluation criteria.

· Analyses, negotiates and prepares contracts with service providers, ensuring appropriate terms and conditions are included to protect the interests of the company.

· Monitors and reviews progress of contracts, coordinates renewals, as appropriate, reviews and approves invoices for payment, and resolves any problems that may arise. Also performs post contract evaluations.

· Creates and maintains procurement records, including electronic records ensuring accuracy and integrity of data through regular report generation, review and update of data.

· Keeps abreast of new and ongoing developments in procurement and supply management making recommendations to management on continuous improvement initiatives.

System and Process Support:

· Provides analysis, advice and information necessary in support of the development of new procurement tools and contributes to the development and implementation of such tools.

· Reviews, conceptualizes and recommends new practices and procedures.

· Develops and updates system and process documentation.

· Provides coaching, support and troubleshooting for internal stakeholders on all matters relating to procurement processes and requirements.

Other

· Performs other related duties as required from time to time.

Qualifications

  • Graduate degree holder in a Procurement related subject with 2+ years of proven procurement experience and clear ability to work in a team, coach and develop its members.
  • Excellent communication skills in English and the ability to handle multiple tasks with attention to fine detail.
  • Good Negotiation skills support on the management of different basis, routes, and cost monitoring.
  • Excellent Microsoft Teams, Word and Excel a plus. Microsoft Lists experience desired
