Job Description


Review and monitor the implementation of the procurement cycle policy and guidelines for the timely availability of quality goods works and services at the most competitive prices in line with Baylor-Uganda’s mission

Overall Responsibilities
  •       Carry out market surveys and under the guidance of the procurement manager in accordance to the Baylor-Uganda policy guidelines in line with Baylor-Uganda procurement guidelines.
  •   Organize the relevant information/documents to be used in both the Evaluation and Contracts committee meetings then take and file minutes as required by Baylor-Uganda procurement guidelines.
  •    Keep and update procurement records on a quarterly basis relating to suppliers, different user department procurement needs, approved contracts as required by Baylor-Uganda procurement guidelines.
  •       Receiving, recording and distributing incoming mails in Procurement unit in line with Baylor-Uganda procurement guidelines.
  •      Make follow up of supplies to be delivered within the stipulated delivery period according to the terms of the order/contract/agreement  and give feedback to users as regards the progress of their requisitions in line with Baylor-Uganda procurement guidelines.
  • Provide technical support to user departments in specification development and contract management in line with Baylor-Uganda procurement policy guidelines.
  • Preparation of Purchase order documentation and contracts of goods, services and works in accordance with Baylor-Uganda procurement guidelines.
  •       Establish and document the supplier’s service delivery given the user’s remarks for future reference then prepare documents for payments to suppliers and verify the user s as per procurement manual.
Required Qualification, Experience and Competencies:
  • A University degree in Business Administration (procurement), Professional Qualifications (e.g. CIPS), Master in procurement is an added advantage; 3-5 years of experience support project procurements. Team player with excellent communication skills (both oral and written) and with strong management and analytical skills.
