Job Description
Reporting to the Operations Manager, the Procurement Officer shall oversee purchasing activities and ensure that purchased items are both cost-efficient and of high quality. Other responsibilities include supervising staff, maintaining positive supplier relations, evaluating supply options, approving purchases, and maintaining accurate records. The position requires an analytical mind and keep up with product and service trends. Ultimately, a top Procurement Officer should be able to negotiate well and ensure that all purchases comply with UFFU standards.
Essential Duties and Responsibilities
• Conduct regular supplier reviews and identify the most profitable suppliers and initiate business partnerships.
• Maintaining and updating supplier information such as qualifications, delivery times, product ranges, contacts etc.
• Preparing plans, budgets, cost analysis, and reports.
• Assist the Operations Manager in coordinating and operating the Tender Purchase Committee such as checking/verifying quotations, negotiation with suppliers, monitoring goods delivery etc.
• Develop and refine UFFU’s procurement policies and procedures.
• Review, update and build up standardized contract terms for the procurement of various goods/ services.
• Following and enforcing the company’s procurement policies and procedures.
• Facilitate formulation of the annual procurement plan; provide guidance and training to staff on issues and enhance planning for the procurement of goods and services.
• Follow-up on staff to control spend and build a culture of long-term saving on procurement costs.
Education and Experience
• Bachelor’s in Procurement and Logistics, Accounting, Business Management or a similar field.
• 2+ years of experience as a Procurement Officer or in a similar position in a busy organisation.
• Knowledge of sourcing and procurement techniques as well as a dexterity in “reading” the market.
• Aptitude in decision-making and working with numbers.
• Experience in collecting, analyzing and using data to make decisions.
• Attention to detail.
• Organizing, planning, analyzing and problem solving skills Organizing and problem solving skills.
• Very good computer skills for analyzing data, information consolidation and track measures (excel)
• Understanding of non-profit organizations procurement processes and procedures.
Skills and Abilities
• Strong interpersonal skills and adept at interpersonal relationships including conflict resolution.
• Demonstrated ability to prioritise multiple projects simultaneously and exercise confidentiality.
• Strong commercial and negotiation skills.
• A self-starter with enthusiasm and initiative that can also manage ambiguity, the ability to respond adeptly to rapidly changing priorities and the ability to work well under pressure.
• Ethical conduct in accordance with recognized professional and organizational codes of ethics.
