Job Description


Stiftung Solarenergie – Solar Energy Foundation is a German NGO, working for energy access and support of local handicraft in East Africa. The foundation has initiated the Association of Sendea UG.
Association of Sendea UG Ltd. is a not-for-profit association of Ugandan solar companies. Founded in 2018 Sendea UG targets to help local SMEs in the solar off-grid sector to grow. More information on our webpage: www.sendea.org. Until June 2022, Sendea UG is supported by a joint GPE project of GIZ and the German Solar Energy Foundation, The goal is to support the financial, organizational and structural development of Sendea as an association.
To support the implementation and monitoring of the GPE-project, Sendea UG is looking for a Project administration officer on behalf of the German Solar Energy Foundation. .

Job responsibilities
The Project administration officer:
• Supports the CEO and CFO of Sendea UG in implementing the formal requirements of the GPE Project.
• Administrative and logistical support to partner focussed project activities (field work, meetings, workshops, transport etc.)
• Files documents in reference files and in a data management system
• Ensures that Sendea UG and its member companies comply with the formal and organizational requirements of the GPE project
• Assists Sendea UG in the introduction and implementation of organizational and accounting Processes
• Maintain all documentation of project activities in line with GIZ standards
• Ensure correct visibility for the project and contribute to communications materials
• Adherence to GIZ regulations incl. among others finance, administration and procurement
• Reports directly to the CEO of Stiftung Solarenergie Solar Energy Foundation.
• Undertakes further job training related to her/his position and duties, if required
• Performs other duties and tasks at the request of management

Required qualifications, competences and experience
• Experience in setting up a functioning office to properly handle all processes involved.
• Experience in the execution of GIZ projects
• Experience in the use of common accounting software solutions comes as an advantage
• At least 3 years professional experience in a comparable position working with project partners
• Finance and entrepreneurial knowledge with practical experience
• Sound understanding of the Ugandan banking and finance sector
• Excellent English language skills Ideally experience with solar technologies relevant for enterprises and SMEs
• Sound knowledge of ICT technologies (phone, email, internet) and computer applications (e.g. MS Office)
• Capacity to work on several assignments at the same time

Professional Competences and experience
• Ability to meet commitments, plan ahead of time, observe deadlines and achieve results
• Excellent communication and presentation skills, both orally and written Polite and professional manner and tact in conduct, in person, by phone and email
• Strong ability to work within a team and follow a common goal Computer literacy with excellent knowledge of MS Office (especially Word, Excel, PowerPoint)
• Use of online meeting and conference tools such Skype, MS Teams, Zoom etc.

Time scope of the activity
The scope of the activity is 8 hours a week. Place of work is mainly the office of Sendea UG (Bahai – Kisaasi road, Kampala). Willingness to visit member companies and related travel is assumed.
