Job Title: Transport Coordinator
Reports to: Operations Manager

Purpose of the position:
To oversee transportation requirements and ensure that all Fracht import and Export cargo is loaded, transported, and offloaded in time and safely according to regulations.

Key Responsibilities
Performance Areas/Accountabilities and Responsibilities
Co-ordinating with Internal and external stakeholders
• Leads, directs, guides, and monitors the work of subcontracted long haulage and shunting transporters
• Collects all transport requests and through coordination with trucking companies provides solutions to transport related challenges
• Assesses trucking company’s performance and through reviews recommends improvement measures
Operations Monitoring and follow up
• Continuously track and trace trucks in transit while updating truck movement reports
• Share truck allocations with trucking companies and Commercial team as well as follow up for actual loading/offloading
• Evaluates, records, and responds to additional/special requests such as truck alterations, transhipment, Port overnight stay etc
• Handle and ensure proper documentation is done whenever there is short delivered or damaged cargo
• Coordinate document distribution between Fracht and subcontracted transporters including delivery notes, invoices, export and import documents
• Resolve Operational problems related to truckers. Investigate situations and complaints and recommend solutions.
Planning, Research, and development
• Review and revise where required the transportation schedules to ensure efficiency and to reduce costs.
• Provide support in the planning, performance review, Market research and implementation of improvement measures
• Maintains current knowledge of Regional, national, and local laws, regulations and standing orders e.g. weight restrictions, Journey management, Convid19 guidelines etc
• Collects, analyses, and reports statistical data regarding the transport section and the Fracht Operations in general
Field Trips and Stakeholder meetings
• Prepares and Submits Stakeholder Visit schedules to the head of Operations.
• Following the approved visit schedule meet the stakeholders
• Prepare and submit Stakeholder Visit reports to management
• Be the contact for drivers and subcontracted transporters’ representative both in Field and at the office.
Reporting
• Reports accidents and any other irregularity with potential financial implication to management immediately once made aware of the incident
• Issues Incident reports on each reported accident/incident and avails them to the head of Operations for further processing and closing.
Recording
• Prepares the onboarding documentation for all new subcontracted transporters
• Ensures that proof of delivery is submitted by transporters on all transport files prior to payment of transporters
• Ensures timely updates are done in the electronic cargo tracking system for all shipments handled
Responsibility for assigned adhoc duties
• Performs any other duties that may from time to time be assigned by the immediate supervisor

Minimum qualification:
• A Bachelor’s Degree in Business Administration and Management
• A Diploma in customs Clearing and Forwarding
• Certificate in East Africa Customs Freight Forwarding Practicing certificate
Experience
• Knowledge in customs clearing and forwarding is an added advantage

• Demonstrate aptitude of teamwork
• High level of interpersonal skills
• Must have effective communication skills, both written and oral
• Must be prepared to work long and irregular hours
• Ability to keep deadlines and a must requirement
