Back ground
World Vision Uganda (WVU) is a Christian relief, development and advocacy non-government organisation dedicated to working with children, families and communities to overcome poverty and injustice. We currently work in 43 districts and have 48 Area Programmes implementing projects in health & nutrition, water, sanitation & hygiene (WASH), livelihoods & resilience, education and child protection. Due to expansion in scope of our programmes, we are now seeking for a qualified and passionate individual willing to share in our vision and join the team in the following roles.
Position: Community Engagement and Sponsorship Coordinator – Northern, West Nile and Karamoja
Report to: Regional Program Manager
Location: Gulu District and Northern Uganda
Advert Start Date: 18th May 2022
Advert End Date: 26th May 2022

Purpose of the position:
To effectively Coordinate Execution the Community Engagement and Sponsorship Operations in a manner that contributes to enhanced child wellbeing within partnership Standards

Key Outputs/Responsibilities.
Effective Management and execution of Sponsorship Operations Indicators (SOIs) and Child monitoring Standards (CMS)
• Analyse and Reconcile AP Performance status, identify emerging issues and engage the respective stakeholders to maintain the SOIs and CMS within the Partnership Standards (Sponsor Letters, E Letters, Parcels, Cards, Letters, Fare well, Introductory Letters, Support Office Requests)
Develop appropriate tools to support monitoring, delivery and management of SOIs and CMS
• Build staff and Volunteer’s capacity in sponsorship business processes
• Monitor execution of the Correspondences and provide reconciliations and updates for every AP in accordance to the Partnership Standards
• Manage Sponsorship RC budgets and supply within the partnership standards
• Engage Area Programs and ensure effective and timely Support Office communications and feed back
Support implementation of Bounce Backs and follow through including reporting within standard time
• Support implementation, tracking, reporting and reconciliations of Gift notifications and community gifts
• Support and facilitate production of child and community media contents. (CUPS, CUVs, CGV, CGP, YIP, YIV, YUV, YUP, YFV)
• Coordinate production and provide guidance to the annual Sponsorship contents (APR, CC, CEW)
Staff and Volunteers Capacity Building
• Develop Sponsorship capacity building Plan and contents,
• Train / orient staff and volunteers in Sponsorship Business processes, Sponsorship basics
• Equip staff and volunteers with skills in Horizon sponsorship system utilization.
• Train staff and volunteers in sponsorship initiatives.
• Customize/Adapt Sponsorship materials and step by step guides to facilitate ongoing learning.
Train and orient staff and Volunteer’s in quality child, and sponsor engagements.
• Train and support staff and volunteers in production of quality child and community media.
• Support / facilitate community engagement and awareness on sponsorship.
• Equip staff and volunteers with tools and skills in RC participation
• Support rolls out and implementation of approved Sponsorship initiatives within the assigned Region / Zone
Registered Children Participation and Benefit
• Support APs and clusters to develop and operationalize integrated Child Participation and benefit plans.
• Work with other TPs to establish and monitor Child Development and Participation Centers functionality
Customize / develop and update materials to be used for child participation and benefit.
• Monitor, guide and report periodical RC & family participation
• Analyse and Share periodical RC wellbeing reports and support case management.
• Engage Technical Programs on RC wellbeing and support development of appropriate actions on RC’ with case management issues.
• Truck and ensure a minimum of three unique participation for every RC is captured and appropriate actions taken
• Ensure RCs are monitored within the partnership standard
• Provide guidance to APs in planning for age-appropriate Life sustaining skills for Sponsored young adults and adolescents in Programme
Sponsorship Business Quality Assurance.
• Develop and roll out appropriate tools for quality sponsorship operations and indicators review
• Develop the capacity of staff and Volunteers on Quality assurance in Correspondences, Rich Media and RC data
Consolidate and share Support Office, GC and AP emerging quality issues and Support APs take appropriate actions
• Periodically Review and Support APs/ Clusters to take appropriate actions to mitigate sponsorship risks and audit findings
• Conduct quarterly monitoring and Cluster Sponsorship Support Visits to mentor and coach teams for better sponsorship business management and adherence to standard.
• Monitor and Support timely, accurate, and valid RC data management and reconciliation.
CESP Design, Monitoring & Reporting
• Lead the Sponsorship Feasibility and Risk assessments
• Support sponsorship Development Program Approach processes through community engagement, establishment of structures and engagement of partners.
• Support designing of the AP CESP plan- DIP, Log frames and budgets
Lead Registered Children recruitment process and supply with in the agreed Support Office timelines and standards.
• Support implementation, Monitoring and provide periodical CESP progress update reports.
• Provide semi-annual and annual quality review of DIPs and annual reports
• Consolidate and submit quality Periodical monthly, quarterly & annual Performance reports.
• Support AP Transition processes and communications including Farewell letter, Project closure comment, Community Farewell Video, Community Farewell Photos
• Participate in AP evaluations and Baseline surveys
• Support formation of sponsorship community structures/COVA

Qualifications: Education/Knowledge/Technical Skills and Experience

• Must have a Bachelor’s degree in IT, Business Computing, Social Sciences or Statistics related field from a recognized university.
• 3 Years’ experience in staff and community engagements to deliver specific operations demands within standard
• Computer skills in Windows, MS Excel, Word, publisher and power point.
• Proven negotiation skills, fluent writing and spoken English.
• High discipline of execution within standards and strict time lines.
• Ability to work and deliver with other teams to deliver
• Must possess good communication skills and be courteous in working with communities.
