Nation Media Group is Uganda’s most influential media house. operating the Daily Monitor, Saturday Monitor, Sunday Monitor and The East African Newspapers, 93.3 KFM, 90.4 Dembe FM and Nation Courier Service. It also operates NTV, the biggest and most popular English-language television station and Spark TV. the first female-focused, and fastest growing television station in Uganda.

We are looking for a qualified, experienced and result oriented professional to fill the following vacancy:

Job Title: Executive Assistant
Reports to: Managing Director
Department: MD’s Office

Job Purpose:
• To ensure smooth, efficient and responsive administration and management of the MD’s office schedule including: coordinating of activities and communication between the MD’s office, staff, HODs, customers/clients and other Company guests.

Main Responsibilities:
• General administration of the Managing Director’s office, including security of office property.
• Managing the MD’s executive time, including public engagements.
Planning and execution of internal and external communication from the MD’s office. Handle outgoing and incoming calls with the best customer care for resolution of complaints or requests/inquires related to the Managing Director’s office.
Ensure that briefs and other communication materials for the MD’s meetings and engagements are shared on time. Attend to all staff and visitors who come to the MD’s office.
Ensure orderly filing and storage of documents and property in the MD’s office.
• Handle secretarial work for the Managing Director. Read and sort incoming and outgoing mail.
• Organize meetings that fall directly under the MD’s office. Ensure proper management of the Boardroom and scheduled meetings.
• Remind and collect monthly reports from Heads of Departments (HOD) in preparation for HOD and Board meetings.
• Arrange courtesy engagements for the MD.
• Create and develop CSR activities that build the image of NMGU in areas of Health, Education and Environment, and ensure sustainability of these activities.

Qualifications & Experience:
Academic: Bachelor’s Degree in any business related course or its equivalent.
Professional: Diploma in Secretarial Studies.
Experience: At least 2-4 years of demonstrable working experience in an Administrative/Executive Assistant/PA role in an environment requiring tact, judgment and discretion in handling internal and external contacts.

• Ability to prioritize and manage own workload amid conflicting demands and busy work periods.
• Ability to think ahead and anticipate needs before they arise.
• Ability to exercise discretion in dealing with confidential or sensitive matters.
