Job Description
The Executive Assistant is responsible for ensuring that the section has the necessary administrative support, enabling him/her to focus on business development and strategic issues. He/she is responsible for coordination and receipt, storage and issuance of communications by the Country Manager.
Key Responsibilities:
- Monitor progress of planned activities/ projects in the office of the CM.
- Collect specific data as required by the CM.
- Consulting management in drafting external replies by the CM’s office.
- Draft monthly, quarterly and annual reports of the office of the CM.
- Take minutes of management meetings chaired by the CM.
- Study reports and selected documents sent to the office of the CM and make briefs accordingly.
- Conduct research on topical areas for specific information using electronic resources and or networking relations with internal and external key stakeholders.
- In liaison with administration, manage travels for the CM.
- Review and route correspondence, draft letters and documents, collect and analyse information, and initiate telecommunications.
- Maintain executive appointments and diary schedules by planning and scheduling meetings, events and teleconferences.
- Secure information by completing database backups.
- Maintain filing and retrieval systems for company records, recording meeting minutes and discussions.
- Ensure availability of functional office equipment and supplies.
- Contribute to team effort by accomplishing work-related functions as may be required from time to time.
Qualifications, Skills, and Competencies:
- A Bachelor’s degree in Management Studies, Economics, Business Administration and Management, Public Administration or any other closely related field.
- At least 5 years’ experience as a high-level Personal Assistant in a reputable sizable organization.
- Should have extensive knowledge in the use of relevant office computer software applications.
- Highly developed organizational skills.
- Excellent communicator with a proactive and courteous friendly attitude.
- Multi-tasking ability and flexibility to work in this dynamic and ever-evolving environment and work well under pressure to meet tight deadlines.
- Maturity to handle a range of situations.
- Outstanding written communication skills and attention to detail.
- High level of integrity and professionalism.
