Job Description


The Unit is an internationally recognised centre of excellence with dominant research themes in the areas of HIV and emerging infections, vaccines and immunity, and chronic diseases and cancer. Through a multidisciplinary approach, intersecting basic science, epidemiological research, social-behavioural research and the conduct of new intervention evaluation studies, the Unit contributes knowledge on changing epidemics and diseases, the evaluation of innovative health care options, treatment and prevention and the development of health policy and practice in Africa and worldwide. Following the signing of strategic transfer agreements between the London School of Hygiene & Tropical Medicine (LSHTM) and the Medical Research Council (MRC UK), the Unit formally joined LSHTM on 1st February 2018. The exciting new partnership will boost research capacity into current and emerging health issues in Africa and throughout the world. The Unit is based at the UVRI Entebbe campus with established outposts in Kalungu, Masaka, Wakiso and Kampala Districts. The Unit is now seeking enthusiastic and experienced individuals to fill the following positions:
Study Clerk – Archivist (02 Positions)
Position Code: SCA -920
Reports to: Archives Manager
Duty Station: Masaka
Job Purpose:
The post-holder’s role is to support MRC/UVRI & LSHTM Uganda Research Unit (The Unit) achieve its mission “To conduct research to add knowledge and improve the control of infectious and non-communicable diseases in Uganda, in Africa and globally” by improving and managing an effective, modern, and professional records archival infrastructure and establishing and managing an electronic data and digital archive system, based upon recognized archival procedures. They are responsible for maintaining archive of data records, both hard copy and electronic records. .

Roles & Responsibilities
• To follow the Unit archive policy at all times. Ensure everyone who uses the archive understands and follows the Unit archive policy;
• Responsible for the archive of forms and questionnaires at site;
• Monitor the state of the archive, and ensure that all records are kept in a logical and orderly way. Records should be easily available to-date entry clerks, data managers and others who need to use the archive resources;
• Receive and log all new forms coming into the archive;
• Identify records that are no longer needed at site, and ensure these are transferred to the main Kyamulibwa archive;
• To ensure that all study databases are on the MRC server, and these are backed up regularly;
• To keep copies of the forms for accessing forms, data and electronic data;
• To maintain an index of the archive and of the Standard Operating Procedures for the archive;
• To print, batch, photocopy, scan, and file CRF’s (and forms) from the different studies/trials;
• To print and photocopy training materials;
• To deliver mails in stats section;
• To keep the Archives clean and tidy; and,
• Undertake all work following the relevant safety rules and regulations as laid down in the MRC Health, Safety and Environmental Policy Statement.

Person Specification
• Diploma in Records and Archives Management / Information Management / secretarial studies / Information Systems / Records and information Management or related fields, or significant experience working in Archival or Information/Records Management;
• A minimum of 2 years’ experience dealing with data and records handling;
• Experience working in a medical research setting is desired;
• Experience of working at a junior management level within a large organisation with a proven record of delivering required results within a customer focused organisation;
• Knowledge or experience of Digital archiving;
• Knowledge of research records management;
• Knowledge of SQL server; and,
• Familiar with governmental regulations and legal requirements related to archives and experience in compliance with them.
